Protection of your personal data is essential for Innovatrics, s.r.o.

With regard to the adoption of the Regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons in the processing of personal data and on the free movement of such data, repealing Directive 95/46/EC (“GDPR”), Innovatrics adopts this personal data protection policy.

2) Application for a specific position

If you decide to apply for a particular job, you provide your personal data to us. You are not obliged to do so; however, without this data we cannot contact you, include you in the selection process, conduct interviews, or assess your suitability for the role.

Legal basis and purpose of processing

We process your personal data to take steps at your request prior to entering into a contract (Article 6(1)(b) GDPR) for the purposes of running the recruitment process—namely to review your application for the role you applied for, communicate with you about the process, supplement the information you provide with data from other sources where appropriate (e.g., professional profiles or references you identify), and identify suitable candidates to fill the vacancy. Where necessary to establish, exercise, or defend legal claims, we may retain limited data on the basis of our legitimate interests (Article 6(1)(f) GDPR).

Scope of personal data 

The scope of the processed data corresponds to the above purposes and typically includes:

Retention period

We retain personal data of unsuccessful candidates for up to six (6) months after the end of the recruitment process for the position you applied for (for the case it was necessary to reopen the same selection procedure). If we wish to retain your information for future job opportunities, we will ask for your explicit consent before doing so.

If you are no longer interested in the position*, you may notify us in writing at the address above or by email at hr@innovatrics.com; in that case we will cease processing your data for the purpose described here.

3)   Request or consent to be listed in our database of candidates

If you have not found a specific position that you would like to apply for but would like us to include you in our database of potential candidates, you can reach out to us by e-mail at jobs@innovatrics.com or directly at https://apply.workable.com/innovatrics/ .

Your personal data will be processed for the purpose of maintaining a database of individuals interested in potential employment or business cooperation with us, and for conducting potential interviews.

The legal basis for this processing is your voluntary consent under Article 6(1)(a) of the GDPR. By sending us your e-mail and related information, you provide this consent to be included in our candidate database and to be contacted regarding potential future opportunities.

The scope of the processed data is determined by the purpose of processing and includes in particular:

Retention period

We will retain your personal data for a period of two (2) years from the date of receipt of your application, unless you withdraw your consent earlier. You may withdraw your consent at any time by contacting us at the address above. Withdrawal of consent will not affect the lawfulness of processing carried out before its withdrawal. Before the expiry of this period, we will contact you by e-mail to ask whether you wish to extend your consent to the processing of your data. If you do not provide such consent, your personal data will be permanently deleted.

This Part 3 of this Privacy Policy shall also apply in situations in which you have provided your consent to the processing of your personal data for future job opportunities (for example by accepting by e-mail).

4) Use of third parties (personal data processors)

We use Workable, an online application provided by Workable Software Limited (Company No. 08125469) of 5 Golden Square, 5th Floor, London, W1F 9BS (“Workable“), to assist with our recruitment process. We use Workable to process personal information as a data processor on our behalf. Workable is only entitled to process your personal data in accordance with our instructions. You can find more information about data processing and security and other measures adopted by Workable here: https://www.workable.com/legal 

We use the Workable platform to assist us in the initial assessment of job applications. Workable’s technology may perform a text-based analysis of your CV or application materials to identify relevant skills, experience, and keywords, and to compare them against the criteria we have defined for the role. This process may generate an indicative relevance score or similarity percentage, which is used solely to help our staff organize and review applications more efficiently. 

Please note that the process is not fully automated and does not produce or result in any automated decision within the meaning of Article 22 of the GDPR or the EU AI Act. The use of Workable’s AI-assisted tools serves only as a supporting instrument to aid our recruiters in their review of applications. 

As a part of the internal assessment of your application, we may use the information you have published on social media (such as LinkedIn) to verify your professional experience and education. 

Automated decision-making

All recruitment decisions, including whether to invite you for an interview, to proceed with further stages, or to make an offer, are made by our human staff, based on their professional judgment and evaluation.

Where We store your personal data and transfer of personal data to other persons

Where we store your personal data in our own systems, it is stored in locations and/or servers within the EU.

The data that we collect from you and process through Workable’s services may, in limited circumstances, be transferred to and stored outside the European Economic Area (EEA), including in the United Kingdom and the United States where some of Workable’s technical infrastructure or support services are operated.  

A Data Processing Agreement has been signed between Workable Software Limited and its affiliated entities, as well as between Workable and each of its sub-processors (see current here: https://www.workable.com/subprocessors). These agreements include appropriate safeguards such as Standard Contractual Clauses (SCCs) approved by the European Commission and/or participation in the EU–U.S. Data Privacy Framework, ensuring that your data is adequately protected even where local data protection laws may differ from those in the EU. These international transfers are limited to specific technical operations required for the functioning of the recruitment platform, and we do not routinely transfer or store candidate data outside the EEA beyond what is necessary for these purposes. 

By submitting your personal data, you agree to this transfer, storing or processing. 

Please note that if you visit the Workable website directly, we encourage you to review their own Privacy Policy for information about how they process personal data when you use their site or its functionalities.

We will not publish your personal data.

III. YOUR RIGHTS

Please note that Innovatrics does not perform any automated individual decision making or profiling. However, according to your interest in the job position or based on the information about your preferences, education or experience, we can categorize you according to the type of positions you would be suitable for.

As a data subject under the GDPR, you have the right:

(i) based on a written (including electronic) request to access your personal data (in particular, to require confirmation of whether or not the data is being processed, the category of data being processed, the purpose of the processing, the source of the data, and the duration of retention);

(ii) to repair the incorrect or supplement the incomplete data;

(iii) to restrict the processing of data under Art. 18 of the GDPR (e.g., if the data is incorrect or processed illegally);

(iv) to obtain personal data related to you and which you have provided to the Controller in a structured, commonly used and machine readable format, and the right to transfer such data to another controller under the conditions specified in Art. 20 of the GDPR;

(v) if we process personal data on the basis of your consent, you have the right to withdraw your consent; withdrawal shall not affect the lawfulness of the processing based on consent before its withdrawal.

(vi) to object to decisions being taken by automated means which produce legal effects concerning you or similarly significantly affect you

(vi) to object to processing of personal data in the cases referred to in Art. 21 of the GDPR (mainly in the cases of processing based on legitimate interests, direct marketing);

(vii) to the erasure of data the purpose of the processing of which has ended or in the cases listed in Art. 17 of the GDPR.

This Privacy Policy is governed by the laws of the Slovak Republic (regardless of its conflict of law principles).

We may change or modify this PERSONAL DATA PROTECTION POLICY at any time, in particular with regard to legislative changes in the area of personal data protection which may be adopted in the future. If we do so, we will inform you accordingly.
